This policy on personal data processing/protection (hereinafter "Policy") informs about the collection, storage, processing and use of your personal data in accordance with the paragraphs below.
The company CHALKIDIKI CARS M.A.E. (hereinafter CHALKIDIKI CARS or "Company" or "we" or "us"), having its registered office at Psakoudia Ormilia 63071 Chalkidiki, Greece Tel.: 2310472382, contact email: cars@chalkidiki-cars.com, acting as the Controller, collects, stores, uses and generally processes your personal data.  

1. What are Personal Data?

"Personal data" means any information concerning individuals, including first and last names, mailing address, email address, contact telephone number, etc., which identifies or can identify you (hereinafter "Personal Data" or "Data").  

2. What is Personal Data Processing?

"Processing" means any operation or set of operations which is performed on personal data or on sets of personal data, whether or not by automated tools, such as collection, recording, organization, structuring, storage, adaptation or alteration, retrieval, consultation, use, disclosure by transmission, dissemination or otherwise making available, alignment or combination, restriction, erasure or destruction.  

3. Data we collect

We make sure to collect only Data absolutely necessary to serve the purpose for which they were provided and such Data are used solely and exclusively for the purposes for which they were collected. With the exception of any Data collected by way of Cookies , Data are limited to data explicitly provided by you for a specific purpose subject to your consent. Also, we collect Data when you visit our website subject to your consent, which you are deemed to have granted by filling in the appropriate fields. 
Identity data, such as first name, last name, father's name, date of birth, driver's license, tax identification number, personal identification card number.
Contact/product shipment data, such as mailing address, email address, telephone number.
Payment details, such credit/debit card number, PayPal account, bank account number.
Authentication details, such as (username), IP address .

4. How we use your Data

Your Data are processed either by authorized Company staff or by means of IT systems and electronic devices used by our Company and in certain cases, by third parties who are bound by a contract with our Company, undertaking the contractual responsibility to ensure the confidentiality and protection of your Data, and process them solely and exclusively for the purposes for which they were provided.
As a general rule, your Data are processed with a view to providing you with services, including:  

Price quotations: The Company processes your Data to enable it to offer you a price quotation for term car rentals.  

Car Rental: The Company processes your Data as part of its contractual obligation to rent you a car, provide you with services (such as maintenance, paintwork, repair, car replacement, etc.), comply with its legal obligations, rebut, raise or exercise legal claims.

Car Purchase: The Company processes your Data to complete second-hand car sales.

Compliance with applicable Legislation: The Company processes your Data to enable it to meet its obligations under the law, in particular tax and insurance legislation or to provide insurance coverage for vehicles under active insurance agreements.

Creating User Account: The Company processes your Data to provide you with a user account and make it easier for instance to enter into rental or purchase agreements for products and/or services.

Sending Newsletters: The Company gives you the option to choose to receive Company newsletters/promotions/advertisements at your email (e.g. about new available products and/or services, special offers, new car rental stations, tourist agencies, etc.). 

Information services from our Website: The Company provides information services to its clients 

Client Privilege Programs: Through those programs the Company offers a number of benefits to clients, including priority service at rental stations, better spots at the Company's car parks, discount coupons, offers, etc.  

Contact: The Company uses Data to answer to requests/questions you make for instance through the Contact Center and contact forms.

Hiring: The Company processes your Data to assess your qualifications and skills relating to your job application as well as to contact you about it.

Participation in on-line promotional activity/ contests: Subject to your agreement, the Company processes Data you provide to participate in a contest in order to operate contests, contact you if you win and deliver the prize won. 

Participation in online market surveys/ answering questionnaires: The Company processes Data that you provide to participate in online surveys, such as demographics (age, income, etc.). You have the option to either fill in all or no information. Survey results are used only to improve our website, and for the sole purpose of enabling you to evaluate the services we provide you with and to help us improve them and for no other purpose.  

5. Purpose of processing your Data

We collect your Data for the purposes of the products and/services we provide, including, indicatively:
(a) to assess your request and provide you with a quotation, on the one hand, and to enter into a rental agreement, on the other; 
(b) to manage the rental of the car of your choice, e.g. contacting and informing you on availability, performing the agreement, offering car maintenance, paintwork, repair, replacement, pick-up, etc. services, sending the necessary documentation in connection with any products you may have purchased or services provided to you, managing your debts to the company, making reimbursements; 
(c) to comply with obligations under applicable legislation, e.g. labor and insurance legislation;
(d) to check, improve, adapt to your preferences and choices regarding our products and/or services;
(e) to email information on Company products and/or services; 
(f) to conduct client satisfaction surveys, promote products and/or services, send newsletters on products and/or services;
(g) to evaluate job applications and resumes for possible employment with the Company;
(h) to engage in communication with you in case of a contest.

6. The legal basis for the processing of your Data by the Company

Your Data are processed subject to:  
§ the terms of our contract with you;
§ your consent, where required;
§ the Company's obligations under the law (e.g. tax, labor, insurance, etc. legislation);
§ the Company's legitimate interest. 

7. Recipients of your Data 

The company warranties that it will not transmit, disclose, conveyr, etc. your Data to third parties (save the recipients indicated in this Policy) for any purpose or use, unless it is mandatory under applicable legislation or required by public/judicial agencies/authorities.
Access to your Data is granted only to the absolutely necessary Company staff, who are bound by confidentiality agreement, and third parties working with us, that process your Data acting as Joint Controllers or as Processors on our behalf and subject to our instructions.
Recipients of your Data include but are not limited to:
1) The company to which our Company's payroll is outsourced.
2) Insurance companies working with our Company.
3) Users of our brands and systems who co-operate with our Company.
4) Tourist agencies working with us for car rentals.
5) Airlines we work with to ensure you get even more car rental advantages.
6) Third Parties working with our Company and offering repair, paintwork and maintenance services for vehicles rented to our clients.
7) Certified auditor firms auditing our Company's financial statements. 
8) Companies working with us to provide road assistance to drivers using our Company's vehicles.
9) Companies (inside and outside Europe) which also manage the international car reservation system with which we share information related to our car rental activity and can receive personal information in connection with reservations made using that application. Your Data will not be used for any other purposes without you having first being informed and given your consent. 

8. How we ensure the respect of Processors and Subprocessors for your Data

Processors acting on our behalf have agreed and are contractually bound to the Company:
• to respect confidentiality; 
• to refrain from sending your Data to third parties without the Company's permission;
• to take the necessary security measures; 
• to comply with the legal framework on personal data protection, in particular Regulation (EU) 679/2016 (also known as GDPR).
In performing their duties, Processors may employee other persons called Subprocessors. This requires the Controller's prior authorization for the processing, in part or in whole, of Data. As a result, Subprocessors have, as part of their duties, the same contractual obligations and rights, laid down in this Policy, as the Processor and are jointly and severally liable with the Processor.

9. When do we delete your Data?

We only keep your Data for as long as is required to fulfil the purpose for which you provided them, in compliance with applicable legislation.
Your declaration of consent to receiving our newsletter is kept for as long as the Company sends you newsletters, unless you opt out. 
Data processed when you participate in contests and/or market surveys will be kept for as long as is required to conclude the contest or survey and are then deleted.

10. Are your Data secure?

The company undertakes to safeguard your Data.
Acknowledging the importance of your Personal Data security, we have put in place all the suitable organizational and technical measures, constantly improving them to follow the latest technological evolutions, for the sole purpose of safeguarding and protecting your Data from all forms of accidental or unlawful processing. 

11. Your rights

You have the right of access to your personal Data.
This means that you have the right to be informed by us if we process your Data. If we process your Data you can ask to find out the purpose of processing, the type of Data we keep, who we provide them to, for how long we store them, if there is automated decision-making, as well as about the rest of your rights, such as the right of Data rectification and erasure, restriction of processing, and lodging a complaint before the Personal Data Protection Authority. 
1. You have the right of rectification of inaccurate personal Data.
2. If you find any errors in your Data you can apply to us for their correction (e.g. name correction or change of address updating). 
3. You have the right of erasure/"right to be forgotten".
4. You can ask us to erase your Data if they are no longer necessary for the above purposes of processing or if you wish to withdraw your consent in cases where it is the sole legal basis. 
5. You have the right to the portability of your Data.
6. You can ask us to provide you with Data you have provided in a readable format or to transmit them to another controller.
7. You have the right of restriction of processing.
8. You can ask us to restrict the processing of your Data for as long as your objections to their processing is under review.
9. You have the right to object and withdraw your consent to the processing of your Data. 
10. You can object to the processing of your Data and we will stop processing them in the absence of other imperative or legal grounds overriding your right. If you have declared your consent to the collection, processing and use of your personal data, you may withdraw it at any time with prospective effect.

13. Applicable law to the processing of your Data by us

The applicable law is Greek law as shaped by the General Data Protection Regulation (Regulation (EU) 2016/679), and the applicable national and European legislative and regulatory framework on personal data protection.
The Courts of Thessaloniki have jurisdiction over disputes arising in connection with your Data.  

14. Where you can complain if we violate applicable law on the protection of your Personal Data?

Reservation / Booking

To book a rental car, simply follow the booking steps on our website.
In the individual steps, you will be asked to enter some personal data and to provide further booking details.
Please pay careful attention to the accuracy of your information to ensure that everything runs smoothly.

In the case of a booking from the airport, we ask you to give us your flight number in order to plan for a possible delay of your flight.
For a hotel delivery of your rental car, please select the name from the corresponding list.
If your accommodation is not on our list, please enter the name manually.

Vehicle categories

Reservations and bookings apply to the booked category, but not to a specific vehicle type.
The models shown are non-binding example vehicles.
We reserve the right, in the case of fully booked vehicle categories, to provide you with an equivalent or higher-value vehicle at no additional cost.
Please choose the required vehicle category carefully!
Chalkidiki-cars.com is not responsible for improperly chosen categories.
This relates in particular to the number of people traveling with you and the items of luggage carried.

Payment arrangements

There are three payment methods available:

- credit card payment
- Payment by bank transfer
- PayPal


To reserve your rental car, we only need a down payment of 20% of the total amount, which will be shown to you during the booking process.

The remaining amount is payable on arrival at the rental car and can be paid in cash or by credit card.

Account Transfer

If you choose this payment method, you will receive an official, preliminary booking confirmation, with our account details, by email within 24 hours after booking.
You will only receive the final booking confirmation once the deposit amount has been credited to our account.
A reservation by bank transfer is only possible if the booking date is at least 10 days before the start of the rental.

Credit card payment

While choosing this payment method you will be led to the 2048-bit SSL encrypted area of PIRÄUS BANK, in which you will be asked you for your credit card number.
After successful completion, the deposit amount is reserved only provisionally.
The booking is only considered confirmed if you receive a detailed confirmation by email from us within 24 hours after booking.
Only then will the amount reserved by us be debited.

PayPal

Payments via PayPal are subject to a 2% fee. Your deposit is temporarily reserved. The booking is only considered confirmed if we send you a detailed booking confirmation by email within 24 hours.
Otherwise the deposit will be posted back to your PayPal account.
In case of an unsuccessful booking, all payments will be canceled and you will receive suggestions for changes from us.
For last minute bookings only deposits by credit card or PayPal are accepted.

Short-term bookings (last minute bookings)

If you decide at short notice to make a booking that should take place in less than 24 hours, you will be informed of your booking status by email and / or by phone.

Security-deposit

We do NOT charge a SECURITY- DEPOSIT for tenants over the age of 21.

Rent period

A rental day is always the period of 24 hours from the rental car pickup.
The car-return is therefore on the last day at the same time as on the day of acceptance.
If the delivery time is later, an additional overtime-fee will be charged.
The amount for this can be found on our website during your booking.
If the time is not booked, the fee will be calculated according to the local tariffs.
Generally, flight delays of up to 2 hours and general delays of up to 1 hour are tolerated at no extra charge.

Reservation documents

Please present your booking confirmation as well as your valid national and / or international driver's license and your ID when you rent a car.
Chalkidiki-cars.com is not responsible for failed rentals due to a missing booking confirmation and or missing ID and driver's license.
The booking confirmation is not the rental agreement.
This will only be filled out with the employee when the rental car is accepted on the basis of the services booked.

Driver's license / ID card

All drivers entered in the rental contract must have held a valid Class III (B) driver's license for at least 2 years.
The vehicle tenants are responsible for carrying the valid ID.
In the case of missing documents or duplicates carried along, there is no rent obligation on our part and no refund of payments already made.
Driving licenses issued outside the EU are NOT valid in Greece. In this case you need an international driver's license to rent a vehicle.

Additional drivers

Adding an additional driver is free of charge.
In this case, you will be asked to add him/her when you reserve your rental car.
The second driver must be on site when the rental car is accepted and he/she must have a valid driver's license.

Age of the driver

For categories A, B, C, CG, the minimum age of the driver is 21 at the start of the rental.
The minimum age for the other categories is 23 years.

Extras

The first child seat is free of charge, each additional child is charged EUR 2.00 per day.

The navigation device is charged at 4.00 euros per day and a deposit of 150.00 euros is charged on site.

Snow chains are charged at 2.00 euros per day. You will receive this sealed. These will be checked upon return and a fee of EUR 50.00 will be charged for damage.

Fuel options

Our tank regulation is as follows:
The vehicles have different petrol levels and must be returned at the level specified in the rental agreement.
If the vehicle is delivered with a lower fuel level than when it was received, a processing fee of EUR 20.00 and the value of the missing fuel will be charged.

Delivery information

Airport deliveries:
This service is included in the price.
An employee will be waiting for you there with our shuttle bus.
This will drive you to our nearby rental station for vehicle handover.
The vehicle is returned to our rental station only. A member of staff will then drive you back to the airport.
Please make sure that the flight number and the airline are correct.

Hotel deliveries:
This service is either included in the price or, depending on the location of the location, is available for a fee.
This will be shown to you during the booking on our website.
Our employee is waiting for you in the agreed hotel at the reception.

Delivery outside of opening hours

We offer you a 24-hour delivery service.
Our normal delivery times are from 7:30 a.m. to 11:59 p.m.
Fees are usually charged outside of these times.
You can see this during the booking on our website as soon as you have entered the acceptance and delivery time.
If your flight is delayed and the delivery is made outside normal opening hours, you may have to pay the fee in addition to the total amount of your booking.

Replacement vehicle

A vehicle change depends on the season:
- in high season from June 15th to September 15th every year within 72 hours
- The rest of the year there is a change within 48 hours

One-Way-Rental

One-way rental means that the place of pick-up and return are not the same.
One-way rentals are possible and come with an additional
Calculated fee, which is displayed on the booking page when you have specified the place of acceptance and delivery.

Insurance benefits

The following insurance benefits are included in the price:

• FDW fully comprehensive insurance WITHOUT excess
• Liability insurance
• PAI (personal accident insurance) for the occupants up to 1,220,000 euros
• Physical damage to third parties up to 1,220,000 euros
• Property damage to third parties up to 1,220,000 euros
• Theft insurance WITHOUT excess in the value of the vehicle
• Fire / vandalism insurance WITHOUT excess in the value of the vehicle
• 24-hour road assistance
If a replacement vehicle is required due to damage, we reserve the right to charge a deductible for the remaining rental period.

Insurance expires

The customer is liable for the following damage:
Antenna, damage to the car lock, loss or damage to the keys, wipers, mirrors, spare keys, car jack, lights, fuel filler cap and cap, warning triangles, damage to the seat cushions, extreme dirt in the car, underbody damage, damage due to negligence, fuel malfunctions due to poor or incorrect Fuel, damage to child and baby seats, lack of electricity due to forgetting to switch off the electrical devices, private items stolen from the car or damaged in an accident.
Damage in these areas will be charged to the customer in full.
Lost or damaged vehicle keys are not part of the insurance cover and the cost of the replacement will be charged to the customer.
From EUR 100.00, depending on the type of key and vehicle type.

The car rental company is under no circumstances obliged to replace a defective tire or damage to the radio.
Chalkidiki-cars.com is not liable for damage or accidents caused by alcohol, medication and / or drugs due to driver's consciousness disorders. The same also applies to damage or accidents that were arbitrarily provoked by the customer on or off the street. In such cases, the customer is solely liable.
The driver must never leave the scene of the accident without notifying the car rental company and the police.
He also has to wait for the police to arrive so that they can prepare an accident report, the copy of which must be submitted when the vehicle is returned.
If you fail to notify the car rental company and the police and do not comply with the requirements of the state laws, the insurance does not cover any damage and the vehicle renter is liable for the entire cost of the damage.
The police report should also state whether one of the drivers involved was under the influence of alcohol and / or drugs.
In case of other damage to the rented vehicle, even if it was parked, the car rental must be informed IMMEDIATELY before the vehicle is moved.
In case of theft, the customer must immediately inform the car rental company and hand over the vehicle key and the police report there as soon as possible.

In general, the customer is obliged to IMMEDIATELY report any type of vehicle damage to the car rental company.
If this is not done, the customer is liable for all costs.
In case of a damage or an accident, a processing fee of up to EUR 90.00 will be charged. All rental cars are insured for the maximum number of passengers.
In the interest of security, this must not be exceeded, otherwise the insurance can be declared invalid.

Fines

Fines and damage caused by disregard of the traffic regulations are to be borne solely by the tenant and are NOT covered by the insurance. If a fine is not paid directly by the customer, we will charge a processing fee of EUR 20 in addition to the amount of the fine.

Pollution

The vehicles are handed over cleaned and should be returned as far as possible. If the vehicles are unusually dirty, a cleaning fee of up to EUR 50.00 will be charged.

Additional insurance

WUG Insurance also covers damage to tires, underbody, mirrors and glass. This can be completed separately for a fee.

Shipments / Crossing the Greek border

Shipping within the rental country is usually allowed.
The car rental company must always be informed. The customer is fully liable for any damage that occurs during shipping.
Journeys to other countries are NOT allowed as the vehicles are insured only within Greece.

Force majeure

Chalkidiki-cars.com is NOT liable for unfulfilled or defective services that are due to force majeure, e.g. War, terrorist attacks, natural disasters, strikes, etc. are delayed, prevented or prevented.

Cancellations

At chalkidiki-cars.com you can cancel free of charge up to 3 days before the start of the rental.
You can send this cancellation to us by email:

In this case, the deposit amount will be fully refunded.
If you cancel less than 3 days before the start of the rental, the deposit will NOT be refunded.
In the event of prepayment of the total amount, 20% of the total amount will be retained in the event of a short-term cancellation.
A bank fee of EUR 7.00 will be charged for any refund to a foreign account.

Silver and gold coupon holders can cancel their reservation free of charge up to 24 hours before the start of the rental.

This means that the entire payment that already has been made, including the 20% deposit payment, will be credited back to your coupon. This will make it available for the next reservation/activity.

Chalkidiki-cars.com is NOT responsible for changes / cancellations after the start of the rental which leads to a price change (without the fault of the rental company).

A refund or credit for a reservation that has not been made due to no-show, lack of driver license, earlier return trip or cancellation after the start of the rental cannot be made.

No show

If you are not able to receive the vehicle at the time you have specified, please let us know in advance, otherwise the reservation will be canceled after 3 hours.

Reclassifications

At chalkidiki-cars.com you have the option to rebook up to 3 days before the start of the rental.
You can do this by email or by phone.

If a change affects the price, you will receive a new booking confirmation by email, in which the change is visible.

If changes are made at short notice, there may be an additional charge.
Rebooking after the start of the rental, e.g. Extension of the rental period, change of the delivery location, etc., are timely, at least 24 hours, by phone before the end of the rental period
